Charges for holding events on land we manage
Events held on land we manage include:
- running
- triathlon
- cycling
- husky training
Orienteering and motorsports events are not covered by these charges as we have a national agreement in place.
Event charges
How much you need to pay depends on three things.
- Whether your event is not-for-profit (such as a community group or charity event) or commercial
- How many people took part
- How much NRW land you use as a proportion of your event
We also charge a £75 admin fee (includes VAT). This is payable even if the event does not go ahead.
Commercial event charges
499 participants or under: we charge 5% of either the participant charge or the gross entry income (whichever is greater).
500 participants and over: we charge 10% of either the participant charge or the gross entry income (whichever is greater).
Not-for-profit event charges
499 participants or under: you only need to pay a £75 administrative fee (includes VAT).
500 participants and over: we charge 2.5% of either the participant charge or the gross entry income (whichever is greater).
If only some of your event is on land we manage
Your event might happen on land managed by us as well as land managed or owned by someone else.
In this case, we reduce the charge depending on how much NRW land you use.
If, for example, only 10% of your event is on NRW land, we reduce the charge to reflect your 10% use.
We will need proof of how much land you use.
Car park hire
For exclusive use of our car park, we charge an additional 200% of the car park's usual income.
We will include this charge on your invoice.
Proof of participant numbers and land use
As soon as your ticket sales are completed you need to provide:
- evidence of your participant numbers including any cancellations
- your calculation of how much NRW managed land you used
Evidence of participant numbers
This can include ticket sales lists from online ticketing companies. Make sure the lists contain no personal data.
Calculate how much land you used
You can calculate how much land you use:
- manually (if the area is small)
- by using a tool like Calcmaps
How to pay
We will invoice you for any admin fee and charge(s).
