As an organisation we support flexible working. This role allows hybrid working (a mix of home and office working) and a working pattern suitable for you can be discussed on appointment if you are successful.

You will be contracted to a NRW office within the place base, of which you will be required to attend for regular meetings, training and for one-to-one meetings with your manager. These will be planned in advance.

Job description

This is an opportunity to join NRW’s Energy Delivery Team and make a positive contribution towards the climate and nature emergency whilst serving the communities of Wales.

In this role you will offer a high level of secretarial and business support to project teams facilitating, the development and construction of high-profile renewable energy (and other commercial) projects on the Welsh Government Woodland Estate. You will also undertake team and programme tasks to ensure efficiency, consistency, and good governance across the Energy Delivery and wider Commercial Development Teams.

The role would suit someone who is resourceful and well organised with excellent communication skills (written and verbal) and who pays attention to detail. Applicants will also need to be flexible in response to changing circumstances and be discreet and diplomatic when necessary. Candidates should be experienced in undertaking key administrative duties which support project teams such as: minute taking, meeting and schedule organisation as well as mailbox and electronic document management and basic procurement activities.

Working knowledge and experience of using Microsoft Office Tools (particularly Excel, Word, PowerPoint and teams) is essential. Experience of using Microsoft Project, Geographical Information Systems (GIS), and interactive data visualization software would be advantageous (there will be the opportunity to develop these skills). The team employ Project Management tools such as risk registers, lessons learnt, decision logs etc to ensure consistency and transparency in decision making and effective risk management.

A basic understanding or experience of supporting a project manager would be advantageous.      

The role is predominantly desk based with a requirement for occasional travel to other NRW locations throughout Wales with prior arrangement. 

Responsibilities

Your responsibilities include (but not limited to)

  • Managing the systems required to implement PRINCE 2 Project management procedures.
  • Produce, review and process information required for maintaining Project management toolkit including risk and issues logs.
  • Maintain Wellbeing, Health and Safety records for the site-based Project Team.
  • Maintain health and safety and environmental incident reporting systems.
  • Manage, store, retrieve and interpret project documentation including contracts, leases and other commercially sensitive information.
  • Provide information for the purposes of contract management.
  • Organise site access permissions.
  • Deal with queries from developers and internal NRW teams.
  • Arrange meetings, team events, site visits and liaison with Developers and Customers.
  • Undertake appropriate cost-centre administration and provide full secretariat services to Project Meetings.

Qualifications, experience and knowledge

Knowledge and experience of the following: 

  1. Possess good literacy, numeracy, and IT skills (Microsoft Office).
  2. Experienced in office administration.
  3. Numeracy skills and ability to communicate clearly verbally and in writing.
  4. Excellent communication and inter-personal skills.
  5. Organised and adaptable and able to respond to changing demands on workload.
  6. Experienced in information management and Project Management systems.
  7. Able to interpret contracts.
  8. Effective at developing good stakeholder relations internally and externally.
  9. Willingness to attend site meetings and record site observations and provide cover for team members across Wales as required.

Welsh language requirements

Essential Level 1 – able to pronounce Welsh and use basic phrases

  • The post holder will have relevant customer facing work experience in the subject area through working in other roles in NRW or other organisations. The post holder will have a good understanding of NRW, the work undertaken by the function, and the impact the work has externally.  It is likely that this will be developed and enhanced through experience within the NRW role.
  • Post holders will have good verbal communication skills and able to interact and work with a range of individuals and organisations. They will have good facilitation and engagement skills, customer relationship management skills, be flexible, adaptable, well organised and resilient. The post holder needs to be able to adapt their style and content of language to fit with the audience.
  • The post holder will have good literacy, numeracy and IT skills. They will be able to work unsupervised and to manage their own workload.
  • Though not at an advanced level, the post holder will understand contracts and contract law and be open to further learning and development of knowledge and skills.

Evaluation of Information

  • Ability to retrieve, produce, review, process, interpret and present a variety of information. Understanding of basic contracts and manage internal department systems.

Impact

  • The post holder's work will impact on their own immediate team or function.  Their input and effectiveness will support the delivery of other activities.
  • The post holder will have good communication skills in order to work with customers, the public, communities and third parties. This could impact on service delivery or potentially damage relationships. For education-based roles, the impact will be on the learning and behaviours of the audience.
  • The impact of decisions or activity undertaken will be fairly short term, with errors or omissions identified with the ability to address and rectify them readily.  The post holder will need to have an understanding of the overall impact of the work of the function, even if their role does not directly influence the outcome.

Communication and Relationships with Others

  • Ability to interact to a high level, which will include both internal and external customers.
  • The post holder will have good communication skills which are adaptable, depending on the person and nature of the relationship.
  • Communication will include giving and sharing of information, dealing with queries and providing straightforward advice. Some communication may relate to contract requirements, so will need to be able to articulate clearly, concisely and with confidence.
  • Some interaction may be with individuals who are angry or upset, which will require tact, patience and the ability to remain calm in order to try and resolve the issue.

Responsibility for Resources

  • Post holders will be responsible for the safe use and operation of equipment that they use in order to fulfil the requirements of their role.
  • There may be aspects of the role which entails income generation.
